This Privacy Policy explains how Ironwood Fitness LLC ("Ironwood Fitness", "we", "us", "our") collects, uses, stores and protects your personal data when you visit our website at ironwoodfitnessie.com or contact us via our enquiry form. We are the data controller for the personal data described in this policy.

We are committed to protecting your privacy and processing your personal data fairly and transparently in accordance with Ukrainian law on personal data protection and, where applicable, the European Union General Data Protection Regulation (GDPR).

1. Who we are

Ironwood Fitness LLC is a fitness studio and personal training business registered and operating in Ukraine.

2. What personal data we collect

We collect only the personal data necessary to operate our website and respond to your enquiries. This includes:

2.1 Data you provide directly

  • Contact form submissions: your full name, email address, an optional subject line, and your message. Submission of this form is voluntary and constitutes your consent to our processing of this data for the purpose of responding to you.
  • Membership enquiries: if you enquire about membership or a trial session, we may collect your preferred training schedule, fitness goals, and any health information you choose to share in your message.

2.2 Data collected automatically

  • Technical data: your IP address, browser type and version, operating system, referral URL, pages visited, and time spent on the site. This is collected through standard web server logs and, where you consent, through analytics cookies.
  • Cookie data: information stored in cookies and similar technologies on your device. See Section 5 for full details.

3. How we use your data

We use your personal data only for the purposes described below:

  • To respond to your enquiries, questions, and requests submitted through our contact form.
  • To arrange trial sessions, consultations or membership information as you have requested.
  • To operate, maintain and improve our website and its security.
  • To analyse how visitors use the site so we can improve the user experience (only where you have consented to analytics cookies).
  • To comply with our legal obligations under Ukrainian law.
  • To protect the rights, property and safety of Ironwood Fitness, its clients, and the public.

We process your personal data under the following legal bases:

  • Consent — when you submit our contact form, you explicitly consent to your data being used to respond to your enquiry. You may withdraw this consent at any time by contacting us (see Section 9). You also consent to analytics cookies through the cookie banner when you click "Accept".
  • Legitimate interests — we process technical and usage data to operate and secure our website. Our legitimate interest is to run a functional, safe website. We balance this interest against your privacy rights and collect only what is necessary.
  • Legal obligation — where Ukrainian law or applicable regulation requires us to process or retain data, we do so on that basis.

  • Service providers: trusted third parties who provide technical services (such as website hosting and analytics) and who process data solely on our instructions under appropriate data processing agreements.
  • Legal requirements: where we are legally required to disclose data to a competent authority in Ukraine or in another jurisdiction where we have obligations.
  • Business transfers: in the unlikely event of a merger, acquisition or sale of substantially all of our assets, personal data may be transferred to the successor entity, who will be bound by this Privacy Policy.

7. Data retention

We retain your personal data only for as long as necessary for the purpose for which it was collected:

  • Contact form enquiries are retained for up to 24 months from the date of your submission, or until you ask us to delete them.
  • Server log data (IP addresses, page requests) is retained for a maximum of 12 months for security and diagnostic purposes, then automatically deleted.
  • If you become a member of Ironwood Fitness, data related to your membership is retained for as long as your membership is active and for a reasonable period thereafter, in line with our contractual and legal obligations.

8. Your rights

Depending on applicable law (including the GDPR where it applies), you have the following rights regarding your personal data:

  • Right of access: to request a copy of the personal data we hold about you.
  • Right to rectification: to have inaccurate or incomplete data corrected.
  • Right to erasure: to request deletion of your personal data ("right to be forgotten"), subject to any legal retention requirements.
  • Right to restriction: to limit how we process your data in certain circumstances.
  • Right to data portability: to receive your data in a structured, commonly used format.
  • Right to object: to object to processing based on legitimate interests.
  • Right to withdraw consent: to withdraw consent at any time, without affecting the lawfulness of processing before withdrawal.

9. Security

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, accidental loss, destruction or alteration. Our website is served over HTTPS. Access to stored enquiry data is restricted to authorised staff only.

10. Third-party links

Our website may contain links to external websites. We are not responsible for the privacy practices of those sites and recommend you review their privacy policies before submitting any personal data.

11. Children's privacy

Our website is not directed at children under the age of 16. We do not knowingly collect personal data from children. If you believe a child has submitted data through our contact form, please contact us and we will delete it promptly.
